Ella

Hand Ella your vendor calls and get your afternoons back

Every work order means calls: three quotes for the roof leak, a make-ready crew to confirm for Thursday, the plumber who still hasn't sent the invoice. Give Ella the names and numbers and what you need to know. She makes the calls, takes the callbacks and emails you what each vendor said.

From $29 a month for 10 calls. Nothing is charged until your account is approved.

You give her the errand. Ella makes the phone calls.

She calls each contact from your own Ella number, between 8 AM and 8 PM where they are. She asks your questions, answers theirs from what you said she may share, leaves a voicemail when nobody picks up, and takes the callbacks. You get the summary and transcript of every call.

Every call opens the same way, played by code, not left to the model:

Hi, this is Ella, an AI assistant calling for your name at your company. This call is recorded.”

What she takes off your desk

Quotes for a work order

She calls each vendor on your list with the same questions, answers theirs from what you said she may share, and puts the offers in one table with the one she'd pick and why.

Confirming an arrival

The day before a make-ready or a repair, she calls the vendor to confirm the date, the time window and the unit, and emails you what they said.

Chasing what's missing

The vendor who hasn't called back, hasn't sent the invoice or still owes you a W-9: she calls, asks, leaves a voicemail if nobody picks up, and takes the callback.

Parts and walkthroughs

She checks whether the part is in and when they can install it, or finds a time a contractor can walk a unit with you, and writes down what they offered.

Errands you could hand her today

Calls out, compares offers

Three bids on a roof leak

The brief: “Call these three roofers about a leak over the back bedroom at 22 Oak Street: price to find and fix it, whether they charge to inspect, and how soon they could come.”

What she does: Ella asks each one the same questions and leaves a voicemail when nobody picks up. The offers land in one table with her pick and why. You choose; she tells that roofer and thanks the others.

Calls out, confirms dates

Make-ready confirmations

The brief: “Call the cleaner, the painter and the carpet company for unit 4: confirm they're still coming Tuesday and Wednesday, what time, and whether they need someone to let them in.”

What she does: She confirms each date and time window and emails you a summary, the transcript and the recording after every call. If one asks something only you can answer, the question comes to you and she calls them back with your answer.

Calls out, takes the callbacks

Invoices and W-9s

The brief: “Call these five vendors who finished jobs last month and haven't sent an invoice or a W-9. Ask them to email both to our office address.”

What she does: She asks each one for what's missing and where to send it, leaves a voicemail when nobody answers, and takes the callbacks to your Ella number. You get a note per vendor saying what they promised and when.

Whom she may call

This page is about vendor calls. Plumbers, HVAC, roofers, make-ready crews, locksmiths and cleaners are businesses, so a businesses errand covers them: you confirm the contacts are businesses, and if someone says it's a personal number or asks her to stop, she stops. Tenants and owners are individuals: Ella calls one only if that person agreed to be contacted by an AI assistant for you and you recorded where and when. No collections, leasing or showing calls. Every errand is checked before she contacts anyone. More on the rules in the main FAQ.

Which plan: A manager with about 100 doors makes 10 to 30 vendor calls a month, which fits Pro and its 50 calls. A smaller portfolio fits Starter's 10; a busy shop with several hundred doors, Business and its 200.

Pricing

Monthly, per conversation: a call that reached a person or voicemail, a call to your number, or one email or text thread with one contact. No answer, busy and failed dials are free. Calls don't roll over.

  • Your number, one per account: toll-free $2.00 a month or local $2.50 a month, on the same bill.
  • Extra calls past your plan: $3.50 each, billed at the end of the month. You set a ceiling on them (25 to start, 0 to 1,000, or none); at the ceiling she stops starting new calls and tells you, and calls to your number are still answered.
  • Texts need your number registered with the mobile carriers; any carrier or Twilio fee for it is passed on at cost.
  • Change plans in your settings: upgrades right away, downgrades at renewal. Cancel any time.

Questions

More on Ella's main page.

Will Ella call my tenants or owners?

This page is about vendor calls. Tenants and owners are individuals, and Ella calls an individual only on an individuals errand, when that person agreed to be contacted by an AI assistant for you and you recorded where and when they agreed. She never makes sales or marketing calls to individuals, so no collections, lease marketing or showings to prospects.

Do vendors know they're talking to an AI?

Yes. Every call opens with a line played by code, not left to the model: "Hi, this is Ella, an AI assistant calling for <your name> at <your company>. This call is recorded." Then she asks the questions in your brief and answers theirs from what you said she may share.

Does she work with my property management software?

No. She doesn't connect to property management software. Results come to you by email after every call (a summary, the transcript and the recording), on your dashboard, or through ChatGPT or Claude if you connect her there.

What happens when a vendor calls back?

Ella calls from your own Ella number, and callbacks to it reach her. She knows which errand the vendor is calling about. If they ask something only you can answer, the question comes to you, and once you answer she calls them back.

Has she done this kind of call before?

In September the engineer who built her had her call three door companies about replacing a smashed set of French doors at a rental house near Huntsville, Texas. By that afternoon he knew one only supplies the door and doesn't install, that a big-box installer won't quote without a paid measure first and won't work in a house under renovation, and that the third hadn't picked up and had a voicemail.

When does she call, and can she text?

Between 8 AM and 8 PM where the vendor is, inside the window you set. Email works from the start. Texts work once your number is registered with the carriers, which takes one to three weeks. English only, US numbers.

Is every errand checked?

Yes. Every errand is checked before anyone is contacted, and one the check isn't sure about waits for a person to review it. You can also start errands from ChatGPT or Claude in your own words.
