Hand Ella the vendor calls that pile up behind your front desk

The lab case that was due yesterday, the backordered gloves, the compressor that keeps tripping, the IT ticket nobody answered. Give Ella the names and numbers and what you need to know. She makes the calls, takes the callbacks and emails you what each vendor said.

From $29 a month for 10 calls. Nothing is charged until your account is approved.

You give her the errand. Ella makes the phone calls.

She calls each contact from your own Ella number, between 8 AM and 8 PM where they are. She asks your questions, answers theirs from what you said she may share, leaves a voicemail when nobody picks up, and takes the callbacks. You get the summary and transcript of every call.

Every call opens the same way, played by code, not left to the model:

Hi, this is Ella, an AI assistant calling for your name at your company. This call is recorded.”

What she takes off your desk

Lab case status

She calls the lab about a case by your office's case number: is it shipped, when will it arrive, can they pick up a remake, and emails you what they said.

Supplies and backorders

She asks your supply reps for price and lead time on an order, when a backordered item will ship, and whether there's a substitute, and writes it all down.

Equipment repairs

The compressor, the sterilizer, the chair, the vacuum: she gets a price and a repair window from each service company and puts the offers in one table with her pick.

IT, services and the landlord

The open IT ticket, the software renewal, the shredding, linen, waste or cleaning company, the landlord's maintenance line, and another office's hours or fax number.

Errands you could hand her today

Calls out, takes the callbacks

Where's the lab case

The brief: “Call our dental lab about cases 4471 and 4480 by our office account: have they shipped, when will they arrive, and can their driver pick up a remake Thursday?”

What she does: Ella asks for each case by number, writes down the ship date and the pickup time, and leaves a voicemail when nobody picks up. When the lab calls back, she knows what it's about. You get a summary, the transcript and the recording by email.

Calls out, compares offers

A backordered order

The brief: “Call these three supply companies: price and lead time on 20 boxes of medium nitrile gloves and 10 cases of 2x2 gauze, and whether anything is backordered.”

What she does: She asks each one the same questions and answers theirs from what you said she may share. The offers land in one table with the one she'd pick and why. You choose; she lets that supplier know and thanks the others.

Calls out, collects answers

Hours and fax numbers

The brief: “Call these six offices we refer to: confirm their hours this month, their fax number, and whether they're closed the Friday after Thanksgiving.”

What she does: She asks each office the same three questions and writes down the answers. If one asks something only you can answer, the question comes to you on your dashboard or by email, and she calls them back with your answer.

Whom she may call

Ella is for your vendor calls only. No patient calls, appointment reminders or recalls, no insurance verification, claims follow-up or prior authorizations, and nothing that carries a patient's name, date of birth, member ID or treatment. Her errand check holds anything that looks like health or insurance information. Labs, suppliers and service companies are businesses, so a businesses errand covers them; if someone says it's a personal number or asks her to stop, she stops. Every errand is checked before she contacts anyone. More on the rules in the main FAQ.

Which plan: A one- to three-doctor office makes 10 to 40 vendor calls a month. A quiet month of lab checks and a repair or two fits Starter's 10 calls; an office that chases supplies, service and IT every week fits Pro and its 50.

Pricing

Monthly, per conversation: a call that reached a person or voicemail, a call to your number, or one email or text thread with one contact. No answer, busy and failed dials are free. Calls don't roll over.

  • Your number, one per account: toll-free $2.00 a month or local $2.50 a month, on the same bill.
  • Extra calls past your plan: $3.50 each, billed at the end of the month. You set a ceiling on them (25 to start, 0 to 1,000, or none); at the ceiling she stops starting new calls and tells you, and calls to your number are still answered.
  • Texts need your number registered with the mobile carriers; any carrier or Twilio fee for it is passed on at cost.
  • Change plans in your settings: upgrades right away, downgrades at renewal. Cancel any time.

Questions

More on Ella's main page.

Will Ella call our patients?

No. Ella is for the vendor side of your office only: labs, suppliers, service companies, IT vendors, your landlord and other offices. No patient calls, appointment reminders or recalls. Her errand check holds anything that looks like health or insurance information, and she isn't built to handle it. An office that needs patient calls needs a different tool.

Can she verify insurance or follow up on claims?

No. No insurance verification, eligibility calls, claims follow-up or prior authorizations, and nothing that carries a patient's name, date of birth, member ID or treatment. A lab case goes by your office's case number. Vendor calls carry no patient information, and that's where the manager's hour goes.

Do vendors know they're talking to an AI?

Yes. Every call opens with a line played by code, not left to the model: "Hi, this is Ella, an AI assistant calling for <your name> at <your company>. This call is recorded." Then she asks the questions in your brief and answers theirs from what you said she may share.

Does she connect to our practice management software?

No. She doesn't connect to practice management software. Results come to you by email after every call (a summary, the transcript and the recording), on your dashboard, or through ChatGPT or Claude if you connect her there.

What happens when a vendor calls back?

Ella calls from your own Ella number, and callbacks to it reach her. She knows which errand the vendor is calling about. If they ask something only you can answer, the question comes to you, and once you answer she calls them back.

When does she call, and can she text?

Between 8 AM and 8 PM where the vendor is, inside the window you set. Email works from the start. Texts work once your number is registered with the carriers, which takes one to three weeks. English only, US numbers.

Is every errand checked?

Yes. Every errand is checked before anyone is contacted, and one the check isn't sure about waits for a person to review it. You can also start errands from ChatGPT or Claude in your own words.
